This is our privacy policy. It explains what information we collect. It also explains how we use and protect that information. We wrote this in plain language so it is easy to understand.

Privacy First: Your Documents Stay With You

Your documents never leave your control. Vector Library is designed with privacy as the top priority. Here is what this means:

  • Your documents stay on your storage. We do not store your files on our servers. Your documents remain on your local system or your own cloud storage account.
  • We only store metadata. We keep information about your files (like file names, paths, and search indexes) to help you find them. The actual file content stays with you.
  • You control your data. You choose where your documents live. We simply help you search and organize them.
  • No vendor lock-in. Since your files stay on your storage, you can stop using our service anytime without losing your documents.

What information do we collect?

Information from your Google account

When you sign in with Google, we get:

  • Your email address (to identify your account)
  • Your name (to display in the app)
  • Your profile picture (to show in the interface)

We only use this to sign you in. We do not access or store your Google Drive files unless you explicitly set up your own storage integration.

Information you give us

  • Your display name and preferences (like theme settings)
  • Where your documents are stored (file paths or storage location, not the files themselves)
  • Workspace names and descriptions
  • Team member email addresses you invite

Important: We do not store your actual documents. We only store information about where they are located on your storage system.

Information we create

We also create some information when you use our service:

  • Summaries of your documents (to help with search)
  • Search index data (to find your documents quickly)
  • Account creation date and workspace membership records

How do we use your information?

We use your information to:

  • Sign you into your account
  • Help you search documents on your own storage system
  • Read documents from your storage to create search indexes
  • Answer your questions about your documents
  • Let you share workspace access with your team
  • Keep your session active while you use the service

We use AI to process your documents. This helps us create summaries and search indexes. We may use external AI services for this. You can also set up your own AI service if you prefer.

Remember: We only read your documents to create search indexes. We do not store the actual document files on our servers.

Who else sees your information?

We share minimal information with:

  • Google: We use Google to sign you in. Google handles your login. We only get the information listed above. We do not share any of your document data with Google.
  • AI services: We may send document content to external AI services for processing (to create summaries and answer your questions). This happens when you search or ask questions about your documents. You can use your own AI service instead if you prefer.
  • Your team members: If you invite people to a workspace, they can see the search results and workspace information. They cannot access your documents unless you also share the document files with them separately through your storage system.

Important: Your actual document files are never shared with us or anyone else. They stay on your storage system. We only share search indexes and summaries with AI services to help you find information.

We do not sell your information to anyone. We do not use your information for advertising.

How long do we keep it?

  • We keep your account information until you delete your account.
  • We keep metadata about your files (search indexes, file locations) until you delete them from our system.
  • We keep search indexes until you remove the files from your workspace.
  • We keep login sessions for 30 days. Then you need to sign in again.

Remember: Your actual document files are never on our servers. They stay on your storage system. We only keep search indexes and metadata.

How do we protect it?

We take these steps to protect your information:

  • We use secure login through Google.
  • We use encrypted connections (HTTPS) for all data transfer.
  • We check permissions before anyone can access workspace information.
  • We use role-based access. Only people you invite can see your workspace metadata.
  • We store search indexes securely with access controls.

Best protection: Because your documents stay on your storage system, they cannot be accessed from our servers. Even if our system were compromised, your actual document files would remain safe on your own storage.

Your rights

You have rights under privacy laws. Here is what you can do:

  • See your data: You can view all your workspace metadata and search indexes anytime. You can also see your profile information. Your actual documents remain on your storage system.
  • Fix your data: You can update your name and preferences in your profile.
  • Delete your data: You can delete workspaces you own from our system. This removes all metadata and search indexes from our servers.Important: Your actual document files stay on your storage system. We never had them, so we cannot delete them. You control those files directly.
  • Get a copy: You can export your metadata. Contact us and we will help.
  • Control access: You decide who can access your workspaces. You can add or remove team members anytime.

Cookies

We use cookies to keep you signed in. These are:

  • A session cookie to remember you are logged in
  • A security cookie to prevent attacks
  • A cookie for the login process

These are necessary for the service to work. We do not use cookies for tracking or advertising.

Kids

Our service is for people 13 and older. We do not knowingly collect information from children under 13. If you are under 13, please do not use our service. If you believe we have information from a child under 13, contact us. We will delete it.

Changes to this policy

We may update this policy. If we make big changes, we will email you. We will give you 30 days notice for significant changes. If you keep using the service after changes, that means you accept the new policy.
